TaroWorks Answer data can consume a significant portion of your Salesforce storage. To manage storage limits effectively, you can periodically delete Answer records, provided they've been properly mapped to Salesforce Objects.
Note: This process is irreversible. Ensure you complete all backup and field-mapping checks before deletion.
Before you begin
- Verify Field Mapping
- Ensure all relevant data is field mapped to the corresponding Salesforce Objects.
- Unmapped data will be permanently lost upon deletion.
- Export Answer Data as a backup.
- Export the records you intend to delete.
- Select all fields in the export.
- Save an extra copy of the generated CSV file.
Steps to Delete Answer Data
- Review Storage Usage.
- Identify High-Volume Forms.
- Navigate to Forms Manager.
- Sort by Response Count to find Forms with the largest data volume.
- Confirm Field Mapping for these Forms.
- Double-check check mapping for the high-volume Forms
- If a Form is not mapped, DO NOT proceed with deletion.
- Generate Answer Object Report.
- Navigate to Reports.
- Create a report for the Answer Object.
- Ensure the Answer ID is included in the report column.
- Export the report as CSV.
- Delete the records via Data Loader
- Permanently remove the deleted records in the Org Recycle Bin.
